Quick answer

What should you email a dealer for the best price?

Ask for the dealer’s best itemized out-the-door price on a specific vehicle. Include the year, make, model, trim, stock number or VIN, and your ZIP code. Request the selling price, incentives and eligibility rules, dealer add-ons, market adjustments, documentation fee, estimated tax, title, and registration. Say that you are comparing written quotes and plan to buy by a realistic date if the numbers work.

Prepare first

Set up the email so the reply is useful

The goal is not simply to get a low number. It is to get a written number that refers to the correct vehicle and includes enough detail to compare with another dealer’s offer.

1 · Vehicle

Name the exact unit

Use the year, make, model, trim, drivetrain, stock number, and VIN when available. Similar vehicles can have different factory options and prices.

2 · Price

Request an itemized OTD quote

Ask for the selling price and every required charge separately. The final total should reflect your ZIP code and stated eligibility.

3 · Timing

Give a real decision window

A credible purchase date shows intent without creating false urgency. Do not say “today only” unless you are genuinely ready to complete the deal.

Keep the first conversation focused on vehicle price

Do not lead with your target monthly payment. If possible, compare the vehicle’s price before introducing a trade-in, down payment, or dealer-arranged financing. Those items can change the presentation of the deal and make quotes harder to compare. Our new-car negotiation guide explains how to sequence the conversation.

How to compare dealer email replies

A lower-looking quote is not necessarily the better deal if it excludes a required add-on, depends on financing, or refers to a different vehicle.

How to email a dealer and negotiate the final price

1. Establish the exact vehicle and benchmark

Confirm the VIN or stock number, research invoice pricing, check current incentives, and note the factory options. Your target should be grounded in the actual configuration.

2. Send the same OTD request to several dealers

Consistency makes the replies easier to compare. Contact a manageable group of dealers that actually have the vehicle or a truly comparable incoming unit.

3. Normalize every written quote

Separate the selling price, incentives, dealer additions, fees, taxes, and conditions. Do not compare one complete OTD total with another dealer’s pre-tax selling price.

4. Counter with a specific number

Use a realistic OTD target and a real buying date. Ask for a revised itemization so a price reduction is not offset by a new product, fee, or condition.

5. Reconfirm before the visit or deposit

Get the VIN, total, itemization, conditions, and expiration in the same email thread. Bring or save the thread when completing the transaction.

Strong reply

Complete, specific, and conditional only where necessary

  • Names the exact VIN or stock number
  • Lists each price component
  • Identifies every rebate qualification
  • States whether financing or trade-in is required
  • Includes an expiration time

Pause before moving forward

  • The dealer will discuss only monthly payment
  • The vehicle identity changes without explanation
  • The reply says fees will be disclosed later
  • A deposit is requested before the total is confirmed
  • The written quote and verbal promise do not match

Know the benchmark before you send the email.

Start with invoice pricing, identify the exact vehicle, and use the templates above to collect complete written quotes. A clear benchmark makes it easier to recognize a strong offer, and counter a weak one.

Frequently asked questions

Car buying email FAQs

What should I say in an email to a dealer for the best price?

Identify the exact vehicle and ask for the dealer’s best itemized out-the-door price for your ZIP code. Request the selling price, incentives and qualifications, add-ons, markup, doc fee, tax, title, registration, and every purchase condition in writing.

Should I ask for MSRP, selling price, or out-the-door price?

Ask for an itemized out-the-door price. MSRP is only a manufacturer benchmark, while the selling price excludes some taxes and fees. The itemized OTD quote shows the complete total and lets you see how it was calculated.

Will a car dealer give an out-the-door price by email?

Many dealers will, although some may first request a call or visit. Politely repeat that you are comparing written OTD quotes before scheduling the next step. If a dealer will not itemize the price, decide whether you have enough information to compare the offer safely.

How many dealers should I email?

Contact enough dealers to create a meaningful comparison without making the process unmanageable. A small group of dealers with the exact vehicle or a closely matched configuration is usually more useful than a large list of unrelated inventory.

Should I mention my trade-in or financing in the first email?

Usually, it is easier to compare the vehicle price first and discuss the trade and financing separately. If a quoted price requires a trade-in or dealer financing, ask the dealer to disclose that condition and show how it changes the final deal.

What if the dealer asks me to call instead?

You can take the call, but ask the dealer to send the final price and terms by email afterward. A written itemization gives you a stable record to compare and reduces confusion about the exact vehicle, charges, and conditions.

Can I send the same email template to multiple dealers?

Yes. Using the same core request improves comparison quality. Personalize the dealer name, exact vehicle, stock number or VIN, ZIP code, and decision date, and review every bracketed field before sending.
